1. Understanding Our Services: Digital Products & Custom Work
It is important to recognize that Byzenta provides professional services and custom digital deliverables. Unlike physical goods, these cannot be "returned" in a traditional sense. Therefore, all refund requests are evaluated on a case-by-case basis against the specific criteria detailed in this policy.
2. General Refund Eligibility
Refunds are considered under the following specific circumstances:
Non-Delivery of Service: If, due to unforeseen circumstances on our part, we fail to initiate or deliver the agreed-upon service within the timeframe specified in your service agreement (and any subsequent mutually agreed extensions), you may be eligible for a full or partial refund.
Major Service Defects: If the final delivered work contains significant errors or defects that render it unusable for its intended purpose, and these issues are not remedied within a reasonable time after being brought to our attention, a refund may be issued.
Project Cancellation by Byzenta: In rare cases, we may find it necessary to cancel a project due to unforeseen operational challenges, ethical concerns, or a fundamental breakdown in communication that prevents us from fulfilling our commitment. In such an event, a prorated refund for any undelivered work will be issued.
3. Specific Service Policies
a) Graphic Design & WordPress Website Design Projects:
These projects are collaborative and typically involve multiple stages (e.g., discovery, concept, revision, final delivery). Payments for these services are often structured into milestones.
Cancellation During Active Project: If you choose to cancel a project after work has commenced but before completion, you will be invoiced for all hours worked and deliverables provided up to the point of cancellation. Any remaining funds from your initial payment for unfinished work will be refunded.
Rejection of Final Deliverables: Once a design concept or website is approved and finalized, no refund will be issued. We ensure client satisfaction through our iterative revision process (number of revisions will be specified in your project quote). It is the client’s responsibility to provide clear feedback during the revision stages.
b) Search Engine Optimization (SEO) & Social Media Marketing (SMM):
Due to the nature of these services, which involve ongoing work and are subject to the constantly changing algorithms of third-party platforms (Google, Facebook, Instagram, etc.), specific guarantees regarding ranking or engagement metrics cannot be made.
No Guarantee of Specific Results: We employ industry-best practices to improve your online visibility and engagement. However, we cannot guarantee a #1 ranking on Google or a specific number of leads/sales. Therefore, refunds are not provided based on a lack of specific results.
Cancellation of Monthly Retainers: For ongoing monthly services, you may cancel your retainer at any time with 30 days' written notice. You will be responsible for payment for the final 30 days of service, after which no further charges will be incurred, and no refunds for previous months of work will be issued.
c) Banking and Review Services:
These services are provided based on extensive research, analysis, and strategic consultation.
Refunds are not available once the research report, analysis document, or strategic plan has been delivered, as the intellectual property and value have been transferred.
4. Non-Refundable Situations
Refunds will not be granted in the following scenarios:
Change of Mind: You have changed your mind about the service after the project has commenced.
Insufficient Research: You did not adequately research the service before purchase and realized it does not meet your expectations.
Dissatisfaction with Third-Party Policies: Issues arising from the policies of third-party platforms (e.g., Google’s algorithm update, Facebook’s ad disapproval) that are beyond our direct control.
Failure to Provide Materials/Information: Delays or failures caused by the client’s inability to provide necessary materials, content, feedback, or access required to complete the project in a timely manner.
Domain Name & Third-Party Costs: Fees for domain registration, premium plugins, theme licenses, stock photography, or other third-party services purchased on your behalf are non-refundable once procured.
5. How to Request a Refund
To submit a refund request, you must:

Provide your full name, company name, and project/invoice number.
Provide a detailed, written explanation of the reason for your refund request, including any supporting evidence.

6. Processing Approved Refunds
If your refund is approved, Byzenta will initiate the refund to the original method of payment. The time it takes for the refund to be credited to your account depends on your financial institution's processing times but typically takes 5-10 business days.
7. Revisions and Dispute Resolution
Our primary goal is your complete satisfaction. Before requesting a refund, we strongly encourage you to allow us to address your concerns. We are committed to revising and correcting any deficiencies in our work at no extra cost, as per the terms of your project agreement.
